Sharing business documents has become as simple as a few clicks for Roberto Bucci

The European-based freight forwarder streamlined its documentation process and ensured greater customer satisfaction by switching to electronic bills of lading with Trade Len.

The consumer

As one of the largest freight forwarders in southern Italy with a specialization in African trades, Roberto Bucci handles different types of goods on behalf of his clients – from private goods clients to large manufacturers. Bucci is also part of a group that owns and operates the Flavia Gioia port in Naples, Italy.

The challenge

Bucci uses INTTRA for its reservations and SI process and ships under CIF conditions. This required them to pay the freight. Before releasing the goods to the consignee via a bill of lading discharge telex, the company had to wait for a guarantee of payment. The freight forwarder would usually receive payments often a day or two before the ship arrives. Bucci would require the consignee to understand the release process at destination and need documentation for the release of the cargo (delivery of BL at destination).

In theory, the transit time from Europe to Africa is short, however, the processing time to receive payment and handle the couriers to the destination increases the risk of delays in cargo release and the potential for demurrage and detention costs.

Identifying areas to meet our customers’ expectations and speed up the delivery of goods to their destination through digitalization is what it means to work with an experienced 3PL.

Telex release processing is not an automated process within the carrier’s system and therefore the freight forwarder should initiate email correspondence requesting release from the carrier. Query response time can take from 2 hours to 2 days.

The time required to process a standard telex release request did not satisfy our customers, at destination they waited impatiently for our confirmation, especially when the shipment was about to arrive.

This lack of transparency in the internal process within the carrier often required follow-up emails and this frustrated customers. Once the freight forwarder or shipper received the confirmation email from the carrier that a telex was issued, they received a notification email that they should forward to the consignee at destination. The consignee would then have to approach the office of the carrier at destination to obtain the release of the cargo. This manual process and siled systems increased the risk of delays.

The solution

Bucci turned to TradeLens for a solution to manage large amounts of documentation and bring transparency to their business. The solution was to move Bucci’s manual documentation process to a digital process via TradeLens eBL. Leveraging blockchain technology, Trade Lens eBL digitizes BL paper and all other related trade documents, capturing the flexibility of an original invoice, in a click. The digital platform provided Bucci with a secure space to share important documents with authorized partners around the world.

TradeLens eBL had the solution, without changing the way we do business, using our standard shipping instructions channel, with one click the originals were returned to the carrier and the carrier system was updated.

The results

With TradeLens eBL, Bucci was able to digitize its document processes and remove the risks associated with using original BLs on paper, as documents were immediately available to all parties involved and all changes could be tracked and traced.

Advantages for the sender

Save on courier fees with one click
Upon receipt of the TradeLens eBL in the TradeLens Shipping Manager (UI), the shipper handed over the eBL to the online carrier with the click of a button. They did not have to pay telex release charges to the carrier (USO 10-USO 40,000 per year) or courier charges (USO 10,000).

Benefits for the recipient

Minimized delays and risks of demurrage or detention
The consignee has received their notification from the Trade Lens platform that the telex release has been made at origin. There was no waiting for a courier package from the sender, and they didn’t need to send the bills to the destination office.

Benefits for the carrier

Reduced turnaround time for communications on a transparent and secure digital process
The carrier received systematic and programmatic transfers of invoices from the Trade Lens system, all backed by blockchain. This got rid of the manual process, which often took between 2 hours and 2 days on average, as well as any additional email communication due to potential delays.

We had a seamless, efficient, and smooth experience while onboarding the easy-to-use platform. With this solution, we believe we can become an industry leader in the speed of container release at destination.
